Currently, we are looking for a detail-oriented and customer-focused Receptionist and Entry-Level Leasing Consultant to join our team. Position Overview As the Front Desk Receptionist, you will be the welcoming face of our organization, greeting clients and visitors with warmth and professionalism. You will create a positive first impression while managing front desk responsibilities such as answering inquiries, directing guests, and providing administrative support. In addition to reception duties, you will serve as an Entry-Level Leasing Consultant, aiding the Property Manager in helping prospective tenants find their ideal office space. You will guide them through the leasing process, ensuring a seamless and efficient experience. Roles and Responsibilities: Greeting Visitors : The front desk receptionist is often the first point of contact for clients and visitors. They must greet everyone warmly and professionally, creating a positive first impression of the organization. Answering Phone Calls : Receptionist manages incoming calls, directing them to the appropriate departments or personnel. They must manage call volumes efficiently while maintaining a courteous demeanor. Handling Correspondence : Manage incoming and outgoing mail, packages, and email, ensure that correspondence is distributed promptly and accurately. Create and Manage Service Requests: Liaise with tenants and vendors to identify necessary service requests, ensuring prompt communication and coordination with vendors to facilitate timely resolutions. Maintaining Front Desk Area : Keeping the reception area tidy and welcoming is essential. This includes organizing brochures, business cards, and other informational materials, as well as ensuring that the waiting area is comfortable and presentable. Providing Information : The receptionist is often asked questions about the organization, its services, and its policies. You must be knowledgeable and able to provide accurate information to visitors and clients. Supporting Tenants and Property Operations: Work with Property Manager and tenants, responding to service requests and helping to coordinate service vendor work. Data Entry and Record Keeping : Perform administrative tasks such as entering data into databases, maintaining records, and updating client information. Diligence is crucial in this aspect of the job. Supporting Administrative Tasks : The receptionists will assist with a variety of administrative tasks, such as ordering stocking supplies, managing client appreciation events, and preparing documents along with other special projects as needed. Utilizing Office Technology and IT equipment : Proficiency in office technology is essential. You must be able to multi-task in using multi-line phone systems, computers, printers, and other office equipment and perform basic IT functions. Managing Confidential Information : Managing sensitive information is a key responsibility. The receptionists must ensure that all client and company information is kept confidential and secure. Promoting Company Services : You will also play a role in promoting the company's services to visitors and clients. You should be knowledgeable about the property amenities and able to communicate effectively. Calmly and Efficiently Handle Workflow: In a sometimes fast-paced, multi-tasking you will have to be flexible and able to manage unexpected situations with poise and in keeping with property policies. Provide Leasing Support : Respond to calls and other inquiries, regularly post offerings on websites, keep informed on pricing and rates and help interview and vet prospective tenants. Conduct Property Tours: Show available spaces, h ighlighting key features and addressing prospects questions and concerns. Collaborate: Work with the Property Manager to keep meticulous records of all critical documents, i.e., service agreements, renewals, maintenance records and maintain property at the highest level of appearance and safety. Stay updated : Follow local market trends, and competitor offers. Qualifications: Previous experience with reception service, property leasing or related customer service roles. Excellent communication and negotiation skills. Highest levels of integrity, trustworthiness, and discretion. Detail-oriented with strong organizational and time management abilities. Proficient in Microsoft Office. Positive attitude and ability to work effectively in a team environment. Education & Experience: Associate's degree or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
