We are seeking a detail-oriented and professional Office Coordinator to join our team at our headquarters.
The Office Coordinator will serve as the first point of contact for visitors and callers, while also providing essential administrative support to ensure the smooth daily operations of our office. This role requires strong organizational skills, a professional and friendly demeanor, and the ability to handle multiple tasks efficiently.
Answer incoming calls at the lobby desk and route them to the appropriate person or department.
Greet and assist office visitors in a professional and welcoming manner.
Handle incoming and outgoing parcel deliveries (UPS, FedEx, etc.).
Order and maintain office supply inventory.
Assist with document filing for accounting and project departments.
Prepare, type, and address envelopes for mailing.
Type short letters and prepare documents for mailing.
Copy, scan, and organize documents as needed.
Create and maintain project and accounting folders.
Assemble documents into booklets, binders, and notebooks.
Keep copiers stocked with paper and make service calls for maintenance (copiers, phones, HVAC, plumbing, etc.).
Order food deliveries for occasional lunch meetings.
Utilize Microsoft Word and Excel to support office tasks.
Perform other duties as assigned by management.
Previous administrative or office support experience preferred.
Proficiency in Microsoft Word and Excel.
Strong communication and organizational skills.
Professional phone etiquette and interpersonal skills.
Ability to multitask and prioritize in a busy office environment.
Dependable, detail-oriented, and adaptable to changing needs.
