We are looking for a dedicated Human Resources (HR) Assistant to join our team in Bakersfield, California. This position offers an exciting opportunity to support HR and payroll functions while contributing to the administrative operations of a dynamic organization. The ideal candidate will bring strong organizational skills, attention to detail, and a customer-focused approach to their work.
Responsibilities:
- Prepare and manage HR documentation, including onboarding materials, employee updates, termination paperwork, and organizational records.
- Maintain accurate and confidential employee files in both physical and digital formats.
- Provide support to employees by addressing inquiries related to benefits, timekeeping, and general HR policies.
- Generate and distribute payroll-related reports for department leadership.
- Assist with payroll preparation tasks, such as data collection, spreadsheet updates, and submission of accounts payable documents.
- Process check requests, ensuring proper authorization and compliance with organizational procedures.
- Handle honorarium invoicing and follow up on collections in coordination with the finance team.
- Manage mail distribution and maintain the organization's administrative calendar, including deadlines and meetings.
- Perform routine administrative tasks such as filing, scanning, and recordkeeping for HR and finance-related documents.
- Keep internal forms, workflows, and templates updated to ensure operational efficiency.
Requirements - At least 2 years of administrative experience, with exposure to HR or finance-related tasks.
- High school diploma required; an associate or bachelor's degree is preferred.
- Proficiency in Microsoft Office Suite and Google Workspace tools.
- Familiarity with payroll systems such as ADP Workforce Now, Ceridian, or similar platforms is a plus.
- Strong organizational skills with exceptional attention to detail.
- Ability to work independently, manage deadlines, and maintain confidentiality.
- Excellent interpersonal and communication skills, with a focus on customer service.
